What StaffCal Pro Does

Your Team's Schedule, All in One Place

StaffCal Pro gives your team a private, login-protected calendar hosted on your own WordPress site. Everyone can see who’s in, who’s out, and what’s going on, without sharing a Google Calendar or digging through Microsoft 365.

Completely Private

Only people with a login can see the calendar. No public access, no accidental sharing.

Color-Coded by Person

Each staff member gets their own color so leadership can see at a glance who’s available and who isn’t.

Tamper-Proof History

Once an event’s start time passes, it locks permanently. Nobody can edit or delete past events, creating a reliable record for HR, payroll, and accountability.

Automated Onboarding

Add a new user and StaffCal Pro automatically sends them a branded welcome email with a secure link to set their own password.

Common Questions

Frequently Asked Questions

StaffCal Pro is a standard WordPress plugin, if you have a WordPress site, you can run it. It works best on a dedicated subdomain (like calendar.yourcompany.com) so it feels like its own private app. We can help with the setup if needed, just reach out.
There’s no limit on users. One license covers one WordPress site with as many staff members as you need. Each person gets their own login, their own color, and the appropriate level of access based on their role.
The moment an event’s start time passes, it locks permanently. Nobody, not even an admin, can edit or delete it through the calendar. This creates a reliable, tamper-proof record of who was in and out of the office. You can still add post-event notes to locked events for additional context.
Yes, all logged-in users can see the full calendar and click any event to see its details, including the description. This is by design so the whole team has visibility into availability. If you need certain events to be private, you can leave the description blank and use a vague event title.
When you remove a user, their future events are deleted but all their past locked events stay on the calendar permanently as historical records. Their name is preserved on those past events, and they display in gray to indicate the person is no longer active.
Yes, in a few important ways. StaffCal Pro is completely private and hosted on your own site, not a third-party service. It has built-in user roles so you control who can add or edit events. And the automatic event locking creates a tamper-proof historical record that a shared Google Calendar simply doesn’t provide.
